Case Studies

Not every business works the same, and not every business will benefit in the same way from effective document management strategies. Below are some examples of the ways in which DMP has been able to benefit some of our clients.

National food manufacturer

DMP reviewed the performance of two very high volume printer/copiers in the production/ packing area, exposing all the running costs associated with the current equipment, leading to the rationalisation of printing in that area.

We justified the need for new equipment and reviewed all payment options and investigate 3rd party financiers, as well as being able to organise demonstration machines for the client.

Substantial savings of 41% were delivered in rental and operating costs.

A second Environmental Review was then undertaken to ascertain expenditure on all hard copy devices organisation wide. DMP identified inefficiencies and bottlenecks and submitted recommendations for change and cost reduction initiatives.

Following our advice, the client was able to achieve an annual cost reduction of up to 66% on some devices. Overall the client achieved 36% total site savings annually.

Subsequent to the enterprise wide Review, DMP were engaged to provide a Fleet Management Programme supporting all hard copy devices throughout the organisation, ranging from the supply of consumables through to service arrangements on all machines. Sites include SA, NSW and Victoria.

In addition, assistance with migrating to an electronic Proof of Delivery and Cash on Delivery system is currently being given.

DMP performed an environmental study revolving around an existing wide format Scanner / Printer with a view to replace it with a more economically viable model. Following DMP's advice, the client was able to achieve a 48% reduction in costs, while production levels increased and the provision of services were broadened, increasing the revenue of the department.

DMP were subsequently engaged to study and report on all network laser printer usage and costs for the entire 8 levels at the client's building. We put forward a best practice procedure and technology strategy which exposed inadequacies relating to capital investment and determined the correct fit of devices to their location.

Through reviewing the supply of consumables, we were able to achieve slightly over 70% cost reductions for some devices, while an overall a 34% cost saving was achieved through the implementation of new strategies.

DMP performed a full Environmental Review, determined the client's current operation costs, and implemented a strategy to reduce all costs associated with the current hardcopy devices. This Review generated total annual savings in the vicinity of 35%.

DMP also implemented a Fleet Management Programme, with constant monitoring of all devices to ensure costs are constantly being reduced wherever possible, while the implementation of strategies forwarded in the Environmental Review are meeting all of the client's ongoing expectations.

DMP undertook a complete analysis of one entire floor in the client's building, involving the document creation processes employed within each work group and the equipment being used, with a view to rationalising the current level of equipment and replace ageing devices. As a result of our recommendations, new equipment was sourced, cost justifications were provided and annual expenditure was slashed heavily.

DMP undertook a full Environmental Review with a view to consolidating the number of desktop printers and uncovering the true running costs of all devices in the organisation, with a specific brief to replace one ageing analogue copier with a new MFD. Volumes and workflows were studied, then the marketplace was researched to find the most appropriate device available that provided all the functionality required by a range of departments that would share the device. All purchase costs were obtained, breaking down the capital rental/lease and service components and the total cost of ownership displayed.

DMP was subsequently engaged to source colour print devices for two locations in the organisation.
